CLIENT PROFILE

Our Client is a member of a European food concern; in Poland it employs around 50 people.

PROBLEM DESCRIPTION

The Client aims at reducing costs generated by the Polish branch. The optimization of the cost structure assumes, among others, reduction of costs which are not directly connected with production and logistics.

The Client is considering HR and payroll outsourcing. Foreign supervisors require top confidentiality of employees’ personal data, in particular their pays.

Client’s expectations towards Work Service, an eternal partner:

  • comprehensive HR services,
  • calculation of Client’s employees’ pays,
  • settlements and preparation of reports required by law.

SOLUTION

After the analysis of the employment structure, the Client transfers to the Payroll Section all tasks connected with employee service in the scope of HR documentation and pay calculation.

The Client has at their disposal a Payroll Section employee. He stays in touch with the Client’s administrative employee who, having been authorized by the Management Board, provides Work Service with original HR documents each week. 

The implemented IT system systematically registers absence, information about current employees and dismissed/laid-off ones, data necessary to calculate pays.

Additionally, the client has a possibility to order other activities as part of the HR and payroll services provided.

Basic duties of the Payroll Section specialists:

  • issue of employment agreements, certificates for employees, certificates of employment,
  • generation of pays on payrolls,
  • preparation of reports within deadlines set in agreements
  • transfer of employees pays
  • settlements with the Tax Office, Social Insurance Institution, Central Statistical Office and State Fund of Rehabilitation of Handicapped People.

RESULTS AND BENEFITS

The Client achieved the aim set. Work Service Payroll Section ensures comprehensive HR and payroll services. Confidentiality and data security are guaranteed by the Data Security Management System certificate ISO 9001:2008. The costs connected with HR and payroll processes were reduced by 32%.
